Why does the tape date of toll fees appear on the NedFleet reports?
Toll plazas submit rolled-up transactions.
The date shown on the report is not the date of the transaction but the date when tape was created (Toll Companies electronically download tapes monthly).
What is a Bowser code?
If a client has fuel pumps/bowsers on their premises, this would be a number/code that the client allocates to the fuel pump. The majority of clients do not have internal fuel pumps.
How would we know if a client authorised a transaction in excess of limit that appears on card?
The client’s authorisation number will appear under Repairs and Maintenance on the TXR 550/01 report.
Why are there duplicate transactions on the report?
Reliance on acquirer bank’s POS machines and functionality, electronic machine recorded a credit or refund as a debit.
Attendant could swipe cards twice, either in error or fraudulently.
Merchant could have accepted a manual voucher – subsequently manually inserted in electronic machine and allowed both transactions to go through.
Why is my card cancelled?
NedFleet will only cancel a card upon receiving an instruction from the client.
Is NedFleet able to supply a report going back three years for VAT purposes?
The extraction of the report is available at a cost and is not always cost-efficient. The cost depends on how far back the report is required.
Why is there a late slip on my report?
Manual transactions take longer to receive compared to electronic transactions. We rely mainly on the merchant’s bank to submit the transaction timeously.
Why is there no column for toll fees on the expense summary?
On the expense summary the MISC/JNLS column is used for toll fees.
Why is the Odometer reading incorrect?
- It is possible that the capturing was done incorrectly at point of sale.
- The driver could have given the wrong odometer reading.
- A different vehicle was filled.
What is the meaning of coupled below?
- The consumption is unrealistic to the target and it will take the next transaction to get to the realistic figure.
- NedFleet combines more than one transaction.
- The error could be on the odometer or on the litres.
Why does outstanding document appear on the report?
- The driver may have used other means to fill-up, or the document has not yet come through from the merchant.
- NB: The target may be too high for the vehicle.
What does 1 Star, 2 Star and 3 Star mean on my report?
* Star: Actual fuel consumption 5 % higher than target.
** Star: Actual fuel consumption 10 % higher than target.
*** Star: Actual fuel consumption 15 % higher than target.
Why do we put remarks on the reports?
To highlight vehicle exceptions, e.g. high fuel consumption.
What does query driver mean?
Query with the driver why his fuel consumption is in excess of the target.
What does “Personal” stand for, and why is there a figure under personal?
The transaction may be flagged as personal if the transaction is not for business purposes.
- It is usually an instruction by the driver.
- NB: If there are no instructions, the system will automatically default the transaction to business.
What does miscellaneous mean?
This refers to non-operating vehicle expenses. Examples of miscellaneous transactions: Car wash, Parking, Spares, etc.
How do we work out the target consumption?
Manufacturers determine the expected target consumption but the client may amend the target at any time to suit operating conditions.
What does op/c.p.k. mean?
Operating cents per kilometre.
How is op/c.p.k. calculated?
Total operating costs in cents ÷ by kms = op/cpk.
What are excess litres?
Litres exceeding consumption.
How are excess litres calculated?
Actual consumption – target consumption x kms ÷ 100.
Which report reflects a Tax Invoice?
TXR 553.
Where does the outstanding balance appear?
On the consolidated tax invoice.
Where does the credit limit appear?
There is no specific limit, whatever amount was used will be payable.
Can a vehicle be transferred from one cost centre to another?
Yes, provided written confirmation is received from the client.
What is a cost centre?
The NedFleet system is designed in such a way that a client may structure their fleet's into a company, branch and cost centre's.
What is estimated Fuel Missing (FM)?
The formula to calculate estimated Fuel Missing: Estimated Fuel Missing x Target.
